As a Stores Officer is under the direction, performs a variety of shipping, receiving, stocking activities. Stores and distributes supplies and equipment. Maintains inventory and stock records and perform related work.
ESSENTIAL DUTIES AND RESPONSIBILITIES: List the essential functions that are core to this position and represent at least 5% of the incumbent's time. Other duties may be assigned beyond the core functions listed below.
- Responsible for the receipt, inspection, handling, stocking, identification and issue of materials.
- Maintenance of all documents and records of all dealings pertaining to internal purchase, transportation, storage and issues.
- Maintenance of effective communication with management, suppliers and other related agencies.
- Quarantining of defective/short materials away from the stock.
- Manage stocking levels to ensure that client orders are fulfilled in a timely manner and at the same time ensuring that all stock levels are not allowed to grow out of proportion with the business.
- Stock taking / registering of inventory at appropriate intervals.
- Perform weekly cycle counting of inventory
- Establishment of min max levels for materials based on consumption and other factors.
- Ensure that proper identification and traceability methods / means for the inventory are established.
- Report and document the activities carried out in line with the documentation requirements of the company.
- Follow necessary safety regulations, applicable work instructions, operating procedures, method statements, etc.
- Report all incidents, accidents, near-misses, unsafe conditions and acts to the Supervisors/Safety Officer.
- Comply with all occupational health, safety and environmental procedures of both the company and of client while working.
- Provide on-the-job training to new & existing department staff members.
- Update the system for the movement of stocks without delay
- Being custodian of the inventories of the company and make sure effective and efficient inventory control system in place
- Notifying the Purchase department of any discrepancy of the items received immediately
- Co-operate with auditors and other staff members for stock take and verification.
- In addition, shall also support the activities of the other units whenever requested.
- Other duties associated with successful development of the unit.
SUPERVISORY RESPONSIBILITIES:
- Functions as an individual contributor with no supervisory responsibilities
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Minimum High School Graduate
- Fork Truck License (preferred but not essential)
- 2 - 5 years, Engineering Stores
- Ability to work well in a team environment.
- Commitment to continuous improvement in Quality, Health, Safety and the Environment (QHSE).
REQUIRED SKILLS:
- Knowledge on modern inventory management, warehouse procedures & documentation in an engineering set up.
- Familiar with methods of proper and orderly receipts, handling, storage and issuance and dispatch of materials.
- Knowledge of established material handling procedures.
- Conversant with basic inventory control procedures and requisitions, purchase orders, invoices, packing slips, bills of lading, freight tags, and the use and meaning of each.
- Exposed to computerized warehouse record keeping systems, good knowledge of codification of engineering parts, equipment's as per standard coding practices.
- Excellent organizational, planning skills with an attention to details.
- Ability to shelve, store and distribute materials and communicate effectively with others.
- Ability to understand the business and knowledge of local laws on goods transportation.
- Awareness of ISO 9001, 14001, 45001 & API Q1, 7K & 16C standards are preferable.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is frequently required to sit; use hands to finger, handle, or feel objects, tools, or controls; and talk or hear. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision.
